Overview: WhatsApp Web brings your WhatsApp Business account to any computer browser, letting you manage customer conversations, send files, use quick replies, and handle multiple chats with a full keyboard without touching your phone. This guide covers how to log in, all the features that carry over from the mobile app, keyboard shortcuts that cut response time, the limitations you need to know before depending on it, and how to send bulk campaigns to your contact list from your WhatsApp Web session.
For businesses sending outbound campaigns from WhatsApp Web, a WhatsApp bulk message sender free tool connects to your existing WhatsApp Web session and handles the bulk send, scheduling, and contact management.
What You Want to Do | Quickest Path |
Access WhatsApp Business from my computer browser | Go to web.whatsapp.com > scan QR code with WhatsApp Business phone app > see login section below |
Send bulk messages to my contact list from WhatsApp Web | Use Roklo, browser-based bulk sender that runs from your WhatsApp Web session. See bulk messaging section. |
Set up quick replies on WhatsApp Web | Quick replies are configured in your WhatsApp Business mobile app > Settings > Business Tools > Quick Replies. They then appear on WhatsApp Web automatically. |
Log out WhatsApp Web remotely | From your phone: WhatsApp Business > three-dot menu > Linked Devices > tap session > Log Out |
WhatsApp Web not loading or showing QR code | See troubleshooting section below, most common fix is clearing browser cache or trying a different browser |
WhatsApp Business Web is the browser-based version of WhatsApp Business, accessed at web.whatsapp.com. It mirrors your WhatsApp Business mobile app in real time. Messages appear simultaneously on your phone and browser, contacts are the same, chats are the same, and most features work the same.
It is not a separate account or service. It is the same WhatsApp Business account accessed from a second screen. One business phone number can link up to 4 companion sessions (browser tabs or desktop apps) at any time.
WhatsApp Business vs personal WhatsApp Web: The URL web.whatsapp.com serves both personal WhatsApp and WhatsApp Business accounts. Which one you access depends on which app you scan the QR code from. Scan from WhatsApp Business on your phone and you get the Business version with all business features. Scan from personal WhatsApp and you get the personal version.

The full session management guide, keeping sessions active, linking and unlinking devices, and staying logged in, is covered in the WhatsApp Web login guide. The core login steps:
Stay logged in: Tick the "Keep me signed in" checkbox on the login screen for computers you use regularly. Leave it unticked on shared or public computers. The session stays active until you close the browser (if unticked) or until you manually log out.
WhatsApp Web reflects your WhatsApp Business account setup. Before getting maximum value from the web interface, ensure your business profile, labels, and quick replies are configured in the mobile app. How to create a WhatsApp Business account covers the complete setup process.
Feature | What It Does on WhatsApp Web |
Full chat access | Read, reply to, and search all conversations from your desktop. Same chats as your phone in real time. |
Send and receive media | Share images, documents, videos, and audio files directly from your desktop file system, drag and drop supported. |
Quick replies | Access all saved quick reply shortcuts (set up in your mobile app). Type / in the message box and your shortcuts appear. |
Message formatting | Bold (*text*), italic (_text_), strikethrough (~text~), and lists all work from WhatsApp Web keyboard. |
Contact labels | See and manage customer labels you set up in WhatsApp Business on mobile. |
Voice and video calls | Make and receive WhatsApp calls from your desktop using your computer microphone and speakers. |
Keyboard shortcuts | Navigate conversations, start new chats, and format messages without touching the mouse. See shortcuts section. |

Keyboard shortcuts are the biggest productivity gain on WhatsApp Web compared to mobile. For business teams handling 20 to 100+ chats daily, knowing these shortcuts reduces response time significantly.
Shortcut | Action |
Ctrl + N (Windows) / Cmd + N (Mac) | Start a new chat |
Ctrl + Shift + ] / Cmd + Shift + ] | Move to next unread chat |
Ctrl + Shift + [ / Cmd + Shift + [ | Move to previous chat |
Ctrl + E / Cmd + E | Archive the current chat |
Ctrl + Shift + M / Cmd + Shift + M | Mute / unmute current chat |
Ctrl + Backspace / Cmd + Backspace | Delete the current chat |
Ctrl + B / Cmd + B | Bold selected text in message box |
Ctrl + I / Cmd + I | Italic selected text in message box |
Ctrl + F / Cmd + F | Search within the current chat |
Ctrl + P / Cmd + P | Open your WhatsApp profile settings |
Esc | Close current chat and return to chat list |
On Mac, replace Ctrl with Cmd for all shortcuts above. These shortcuts work in both Chrome and Firefox on WhatsApp Web.
Quick replies are pre-written responses to common questions. They are configured in the WhatsApp Business mobile app and appear automatically in WhatsApp Web, no separate setup is needed on the web interface.
How to use quick replies on WhatsApp Web:
Setting up quick replies: Quick replies are added in the WhatsApp Business mobile app under Settings > Business Tools > Quick Replies. Each shortcut has a keyword (e.g. "hours") and a pre-written message. Add them on your phone once and they sync to WhatsApp Web immediately.

WhatsApp Web does not have a native broadcast or bulk sending feature. There is no button to send one message to multiple contacts at once within the interface itself.
Businesses that need to send bulk messages, promotions, appointment reminders, product updates, from their desktop do it through a browser-based campaign tool that connects to their WhatsApp Web session.
Here is exactly how that works using Roklo:
Sending bulk campaigns from WhatsApp Web with Roklo: |
1. Open roklo.ai in your browser. Scan the QR code to connect your WhatsApp Business account, same QR scan as WhatsApp Web. |
2. Import your contact list from Excel or sync directly from your WhatsApp Business contacts. |
3. Segment contacts into groups: existing customers, new leads, specific product interests. |
4. Create a message template with the {{name}} variable for personalisation. |
5. Schedule the campaign for a specific date and time, or send immediately. |
6. Roklo delivers to your full contact list with interval pacing built in. No manual sending per contact. |
Each contact receives an individual, personalised message, not a group chat. No saved-number requirement. No API approval. No per-message charge.
Knowing what WhatsApp Web cannot do prevents building workflows that depend on it for things it does not support.
Limitation | Detail |
No native broadcast / bulk sending | WhatsApp Web has no broadcast or bulk sending feature. For bulk campaigns, you need a separate tool. |
Cannot post WhatsApp Status from Web | Status updates are mobile-only. WhatsApp Web can only view Status, not post new ones. |
Cannot share live location from Web | Live location sharing requires the mobile app. |
Cannot manage Linked Devices from Web | Adding or removing linked devices requires the mobile app under Settings > Linked Devices. |
Browser tab must stay open for notifications | Unlike the Desktop app, WhatsApp Web notifications stop if the browser tab is closed. |
One account per browser session | WhatsApp Web shows one WhatsApp Business account per browser session. Multiple accounts need separate browsers or browser profiles. |
Cannot create or manage product catalog from Web | Catalog management is mobile-only in the WhatsApp Business app. |
The most significant limitation for businesses is the absence of bulk or broadcast sending. WhatsApp Web is excellent for managing individual conversations at scale, but any campaign-style outreach requires a separate tool running through the same web session.

| Function | WhatsApp Web | WhatsApp Desktop |
Download required | No. | Yes (from whatsapp.com/download or Mac App Store). |
Notifications | Only if the browser tab is open. | Native OS notifications, works even when app is minimized. |
Keyboard shortcuts | Yes (full shortcut support). | Yes (same shortcuts). |
Multiple sessions | Can open in multiple browser tabs across devices. | One session per device. |
File drag and drop | Limited. | Full drag-and-drop from desktop. |
Best for | Quick access from any computer, no install. | Daily use, team needing reliable notifications. |
For a business team managing WhatsApp responses throughout the workday, the Desktop app is the more reliable choice. WhatsApp Web is ideal when you need temporary access from a computer where you cannot install software.
Always log out on shared computers: From your phone: WhatsApp Business > Linked Devices. Tap the active session you want to close and tap Log Out. This ends the session remotely without needing the computer.
Review your linked sessions regularly: Check Linked Devices on your phone monthly. Sessions you no longer use or do not recognise should be removed immediately. An old browser session on a machine you no longer use stays active until explicitly logged out.
Use "Keep me signed in" selectively: On your personal work computer, keeping the session signed in saves the QR re-scan. On any shared or public machine, always leave this unticked so the session ends when the browser closes.
WhatsApp Web is end-to-end encrypted: The data connection between your phone and the browser session is encrypted. However, anyone with physical access to the computer screen can read your WhatsApp Business conversations if the session is left open and unattended.

QR code not loading: Try a different browser or clear your current browser cache (Ctrl+Shift+Delete on Windows, Cmd+Shift+Delete on Mac). Disable browser extensions, VPNs and ad blockers sometimes prevent WhatsApp Web from loading. Also check that JavaScript is enabled in browser settings.
QR code scanned but page stays blank or loops back to QR: Both your phone and computer need active internet connections. Refresh the page (Ctrl+R / Cmd+R) and scan again with a freshly generated QR code. Try a different browser if the issue repeats.
WhatsApp Web keeps logging out: Your phone may be going offline (no Wi-Fi or data). WhatsApp Web stays connected even when your phone is offline, but only for up to 14 days without the phone connecting. Also check whether the browser is clearing session data on close, if so, tick "Keep me signed in" on next login.
Messages not syncing between phone and WhatsApp Web: Refresh the WhatsApp Web page. If messages still do not appear, disconnect the WhatsApp Web session from Linked Devices on your phone and reconnect with a fresh QR scan.
"This browser is not supported" error: WhatsApp Web works best on Chrome, Edge, Firefox, and Safari (recent versions). Update your browser to the latest version. Very old browsers may not be compatible with current WhatsApp Web requirements.
WhatsApp Web for business transforms customer communication from a mobile-only activity to a full desktop workflow. The same chats, contacts, quick replies, labels, and business profile you set up in WhatsApp Business on your phone all appear in the browser in real time. Add keyboard shortcuts, drag-and-drop file sharing, and the ability to handle multiple conversations simultaneously, and the browser interface becomes significantly faster than mobile for high-volume customer communication.
The core limitation is bulk sending, WhatsApp Web has no native broadcast feature. For businesses that need to reach their full contact list with campaigns, a browser-based tool like Roklo connects to the same WhatsApp Web session and handles the send, scheduling, and contact management.
Roklo is a free bulk message sender that handles how to send bulk WhatsApp messages to your full contact list from a browser, no API approval, no saved-contact requirement, no per-message charge.
